Overview
FOUNDED: Village Players was founded in February, 1923, as a nonprofit, theatrical club. Later we reorganized and were granted our 501[c]3, nonprofit, tax-exempt staus. Village Players operates as a community theatre.
PURPOSE: The object of this organization shall be to produce plays, study the drama, play direction, costuming and scenery design; to encourage the writing of plays and to promote interest in the drama.
CONDITIONS OF MEMBERSHIP: Anyone interested in the drama and the production of good plays shall be eligible for membership.
ANNUAL DUES: See Bylaws, Article VIII, Section 3.
TECHNICAL FACILITIES: Stage: depth = 34 feet; proscenium = 26 feet wide; Lobby with coat rack and handicap-accessible restrooms; Auditorium [212 reserved seating capacity] accommodation for wheel chairs as needed Green-room, Dressing rooms (2), Make-up room; Costume storage rooms; Hand properties storage; Paint room; Lights booth, Follow spots (2); Sound booth; Electrical shop, Scenery/stage props loft
ANNUAL SHOWS: Usually 5 major productions, with 6-8 performances each, that are open to the public; 2 or 3 productions for one-night performances that are for members and guests.
REHEARSALS: Usually held on Monday, Wednesday, Friday and Sunday.
SCENERY PREPARATION: Set construction/scenic usually Tuesdays and Thursdays [occasionally on weekends]

VILLAGE PLAYERS - BYLAWS
ARTICLE I - NAMESection 1 - The name of this organization shall be The Village Players.
ARTICLE II - OBJECTIVESection 1 - The objectives of this organization shall be to produce plays, to study the drama, play direction, costuming and scenery design, to encourage writing of plays and to promote interest in the drama, which shall include voluntary involvement within the community through out-reach programs.
ARTICLE III - MEMBERSHIP
Section 1 - Anyone, eighteen years or older, interested in the drama and the production of good plays shall be eligible for membership.
Section 2 - An Active Member is defined as a member in good standing who will participate, at the request of the Board of Directors, in acting and/or in the production of plays.
Section 3 - An Associate Member is defined as a member in good standing who is not required to contribute time or effort to any activity in this organization, but who is interested in the drama and wishes to support and attend the production of plays and other activities of The Village Players
Section 4 -Junior membership deleted from Bylaws, May, 1997
Section 5 - A Life Member is defined as one who has paid Active or Associate dues for a period totaling twenty-five years, not necessarily consecutive, and has attained the age of 60 years. Life Members shall have the privileges of Active or Associate Members, but shall not be required to contribute time or effort to any activity in this organization. Members, when eligible to become Life Members, shall be so notified by the Board of Directors. No person shall be required to become a Life Member. A person qualified as Life Member shall have a choice of being classified as an Active or Associate or Life Member.
Section 6 - Active or Associate Members in good standing, establishing a permanent residence outside of Wayne, Oakland and Macomb counties, may, on request, become Non-Resident Members. They shall pay the Non-Resident dues and, in addition, shall pay the established guest fee for attendance at plays or activities.
Section 7 - Honorary Membership may be extended by a majority vote of the members present at any usual or special meeting, a quorum being present, to any non-member individual or entity who has rendered an outstanding service to The Players, or whose prominent association with the drama or the theater makes such election desirable. Honorary members shall pay no dues or other fees, and shall not be entitled to vote or hold office.
Section 8 - Only Active members shall be qualified to hold office. All members in good standing, except Honorary Members and Non-Resident Members, shall be entitled to vote.
Section 9- Application for membership shall be made upon a form provided by the Board of Directors.
Section 10- Persons may be elected to Active or Associate membership by the Board of Directors.
Section 11 - Limit on the number of members deleted from Bylaws in 2001.
Section 12 - When not specified within these Bylaws, transfers from one class of membership to another may be made at the sole discretion by the Board of Directors. The Board of Directors may also take such action as it deems appropriate against any member the Board determines has not acted in the best interest of the organization including but not limited to expulsion, provided that the offending Member has been given due notice of the intended action and has been given opportunity to appear before the Board before the action is taken.
Section 13 - Any individual with an interest in theater can participate in a production and shall be considered as eligible to try out for and/or be cast in any play. In cases of comparable ability, a member in good standing shall receive preference. If a non- member is cast, a rehearsal fee of one-half (1/2) of the annual dues will be paid prior to participation in the play. This fee may be applied to dues and fees payable under Article VIII if application for membership under Article III is submitted. The Board of Directors may authorize specific exceptions to this rule.
Section 14- The Board each year shall be authorized to elect one Life Member to the status of Golden Life Member who shall thereafter be excused from payment of any dues as otherwise required by Article VIII. Such Golden Life members shall have the same rights and privileges as a Life Member. Such election shall be given in recognition for many years of meritorious service to this organization.
Section 15 - Each Member is entitled to one ticket to one performance of each show.
ARTICLE IV - NOMINATING COMMITTEE
Section 1 - A Nominating Committee shall be appointed each year by the Board of Directors and it shall be composed of three outgoing Board Members, excluding the President and President-Elect, and two Past Presidents who are still active members. At least one outgoing board member shall be from the Village Playhouse Board of Trustees.
Section 2 - The Nominating Committee shall nominate a President-Elect, a Treasurer (if applicable), and the required number of Board Members for the next fiscal year. The Committee shall present its nominations to the membership in accordance with these Bylaws. Further nominations from the floor may be made following the Committee’s presentation. However, no more than one sitting trustee of the Village Playhouse Board, may hold a seat on this board at any one time.
ARTICLE V - BOARD OF DIRECTORS
Section 1 - The objective, as defined under Article II of the organization, shall be carried out by a Board of Directors which shall be composed of a President, President-Elect, a Treasurer, and six additional Directors (all of whom shall be elected at an annual meeting), and such committees as the Board of Directors may from time to time establish.
Section 2 - Directors shall be elected to serve a two-year term beginning August 1 of year elected and shall serve until their successors have been duly elected and assumed office. The President-Elect shall take office on August 1 of the year following election as President-Elect and shall serve until a successor has taken office. No person shall hold the same office for more than two successive terms.
Section 3 - The Board of Directors shall have power to oversee the theatrical operations of the organization which includes the selection of the programs, the casting of the plays, accept new members and to define and establish the theatrical policies of the Village Players, subject to the provisions stated in these Bylaws and guided by written guidelines passed from Board-to-Board. Each play shall be designated by the Board as open or closed. (Moved from Article VII,Section 5)
Section 4 - Regular meetings of the Board of Directors shall be held as often as necessary. Special meetings of the Board may be held at the call of the President, or any two members of the Board, at such time as the Board may determine.
Section 5- The Board of Directors shall have the power to fill any vacancy arising within its Membership until the next annual meeting, when the unexpired term of any office shall be filled by vote of the membership.
Section 6- An election meeting shall be held annually in the months of May or June for the purpose of electing new members to the Village Players Board of Directors. At a meeting of the Board of Directors preceding the election meeting, the Board shall place in nomination at least one candidate from among the active membership for each vacancy to be filled at the ensuing election meeting. The names of such nominees shall be mailed to all members of the organization at least twenty (20) days prior to the election meeting. Such nominations shall not, however, preclude nominations from the floor at the election meeting.
Section 7 - The Board of Directors shall appoint all committees, both standing and special.
ARTICLE VI OFFICERS
Section 1- The officers of this Organization shall be:
(1) President (2) President-Elect (3) Secretary (4) TreasurerSection 2 - A President shall take office for a one-year term beginning August 1 of the year following election as President-Elect and ending July 31 and shall serve until a successor has been duly elected and assumes office.
A Treasurer shall be elected for a two-year term beginning August 1 of the year elected and shall serve until a successor has been duly elected and assumes office.
Section 3- The duties of the officers shall be such as are implied by their respective titles and such as are specified by these Bylaws.
Section 4 - The President shall be an ex-officio member of all committees and shall also, before each annual meeting, appoint some competent person or persons, not a member of the Board of Directors, to audit the accounts of the Treasurer. The immediate Past President shall serve as consultant to the existing Board of Directors.
Section 5 -Deleted from By-laws
Section 6- The Secretary shall be elected annually by the Board of Directors from among its membership. The Secretary shall keep an accurate record of all meetings of the membership and the Board of Directors, keep an accurate classified list of the membership and perform such additional duties as may pertain to that office or that the Board may delegate.
Section 7 - The Treasurer shall collect all dues and initiation fees and shall receive all monies paid to the corporation. He/She shall see that a suitable set of books is maintained by a certified accountant whose salary shall be paid by the organization, by which an accurate record of all accounts, both operating and capital, is set up, and by which provision is made for adequate reserves. He/She shall pay out monies only upon authorization in the minutes of the Board. He/She shall submit a monthly itemized statement of the corporation’s receipts and disbursements to the Board of Directors, pay the required rent to Village Playhouse, Inc. and shall report for action by the Board of Directors the delinquency of dues fees of any members. He/She shall report annually to the membership upon the financial condition of the club. The Treasurer shall present the books together with all receipts and vouchers, and his/her annual report to the auditor(s) at least one week before the annual meeting. The Treasurer shall be bonded in the sum of $25,000.00, the cost of this bond to be paid by the organization, and in case the President shall be authorized by the Board to handle funds for the organization, He/She shall be bonded in a like sum.
Section 8 - The President, the President-Elect, the Secretary, the Treasurer and the chairpersons of standing committees shall each submit a written report to the Board before each annual meeting. These reports shall be sent to the membership along with the written notice of the annual meeting
Section 9 - All officers, upon retiring from office, shall deliver to their qualified successors, all monies, accounts, record books, papers or other property belonging to the organization.
Section 10- Pledges, donations, memorials, general building fund contributions shall be appropriately recorded in the financial statements of Village Players and flow directly to the Playhouse Board, over and above monthly rent, and deposited into the Building Fund. Any donations made for a specific purpose related to the Village Players Board activities (e.g. purchase new box office software) shall be retained by Village Players and recorded in a separate ledger or line item within the financial statement.
Section 11 - Revenue from rents and general fundraising activities shall be applied to Village Players budget. The Village Players Board can designate these contributions for a specific purpose.
ARTICLE VII - MEETINGS
Section 1 - The annual business meeting of the organization shall be held at a time in the month of September and be fixed by the Board of Directors, upon written notice to the membership. The fiscal year of the organization shall end on July 31 of each year and a new fiscal year shall begin on August 1 of the same year.
Section 2- Special meetings of The Village Players may be held at the call of the Board of Directors or of any ten (10) members upon written notice to the membership at least ten (10) days before the meeting, said notice to contain the time, place and purpose of the meeting. No business shall be transacted except that stated in the call.
Section 3 - The members in good standing present at a duly called meeting shall constitute a quorum for the transaction of business. The Treasurer’s roll shall constitute the authority of such accredited list.
Section 4 - Removed on May 9, 1997 by membership.
Section 5 - Moved to Article V, Section 3 and Article III, Section 16 .
Section 6 -Deleted by vote of the membership at annual meeting, 1994.
ARTICLE VIII - DUES AND FEES
Section 1- Dues may be payable in two equal installments, due August 1 and February 1, of each Players’ year, on or before which time the Treasurer shall have sent an invoice to each member. Members who are delinquent in their dues payments as of September 1 or March 1 of each year shall be considered as not in good standing and thereupon not be permitted to participate in any Village Players or Village Playhouse activities until such delinquency is paid in full. Members who remain delinquent on October 1 or April 1 shall be automatically dropped from membership of both organizations. This section of the Bylaws shall be printed in all notices of dues payable. In case of extenuating circumstances, a member can advise the Board of Directors in writing, prior to the dues date, and the Board may then use its discretion in deciding whether to drop the member from membership.
Reinstatement of members who have been automatically dropped from membership for nonpayment of dues may be made at the discretion of the Board of Directors. The Board may determine the mode and time of payment of dues for individual members upon their application for reinstatement.

Section 3 - The annual dues for each class membership shall be as follows:
Acctive Member $75
Associate Member $100.00
Life Member $ 30.00
Non-Resident Member $ 10.00The Board of Directors may at their discretion, set the yearly dues of members under the age of 27 lower than the yearly dues set for active members.
Section 4- A member in good standing shall he defined as one not delinquent in payment of dues and fulfilling duties outlined in Article III, Section 2.
Section 5-Junior membership category dropped from membership, May, 1997.
Section 6 - Any new member elected to membership after May 1st shall be billed on the following February 1 for one-half (1/2) the dues applicable to his/her class of membership. Any new member elected to membership after December 1 shall not be billed for any dues until the following August 1.
Section 7- Twenty percent (20%) of member dues shall be allocated toward the Village Playhouse Board for the sole purpose of building improvements and maintenance.
ARTICLE IX - PARLIAMENTARY AUTHORITY
Section 1- “Robert’s Rules of Order, Revised” shall govern in all cases to which they are applicable and in which they are not inconsistent with the Standing or Special Rules of this Organization.
ARTICLE X - AMENDMENTSSection 1 - These Bylaws may be amended at any annual or special meeting, provided a written notice of such amendment shall have been sent to each member at least ten (10) days before the meeting. The Bylaws shall be amended by 2/3 of the votes cast by members present.
ARTICLE XI - CORPORATE PROPERTY PERSONAL
Section 1 - Transfer of personal property shall only be permitted by the approval of the Board of Directors.
Section 2 - In the event of dissolution, all assets shall be distributed to such organizations as are qualified as tax exempt under Section 501 (c) (3) of the Internal Revenue Code or the corresponding provisions of a future United States Internal Revenue Law. The organization is organized and operated exclusively for purposes described in Section 501 (c) (3) of the Internal Revenue Code.
ARTICLE XII - STANDING COMMITTEES
Section 1 - The Board each year shall appoint an Active Member to be the Editor of the organization’s monthly newsletter and the annual roster. The Editor shall have the responsibility for all aspects of publishing the newsletter and roster, including staffing, writing, printing and distribution to members.
Section 2 - The Board each year shall appoint a Playreading committee as outlined within these Bylaws. And in accordance with written guidelines provided, the board should select qualified members to staff the committees necessary to effectively manage, supervise and direct the theatrical operation of the organization.
Section 3 - In addition, the Board may from time to time establish one or more standing committees or special committees as it shall deem appropriate and shall define the powers and responsibilities of such committees.

VILLAGE PLAYHOUSE, INC. - BYLAWS
(Adopted by the Board of Trustees on February 19, 1998)ARTICLE I - MEMBERSHIP
Section 1 - Membership in this corporation shall be limited to only those members in good standing of Village Players, except honorary and non-resident members.
ARTICLE II - PURPOSES
Section 1 - To own and manage real and personal property for the use and benefit of Village Players, a 501(c)(3) organization.
Section 2 - To acquire, mortgage, dispose of and deal with real and personal property and interests therein for the benefit of the Village Players, a 501(c)(3) organization.
Section 3 - To do such things and to perform such acts to accomplish its purposes as the Board of Trustees may determine to be appropriate and consistent with these Bylaws and the purpose expressed in the Articles of Incorporation.
Section 4 - This Corporation is organized not for profit and is in general to conduct its affairs in cooperation with and for the benefit of the Village Players. In the event of dissolution, all assets, real and personal shall be distributed to Village Players, a tax exempt organization under Section 501(c)(3) of the Internal Revenue Code.
Section 5- To manage the Building Fund used for any capital improvements or debt reduction as determined by the Village Playhouse Board. Fund balance comprises of pledges, donations, memorials, general building fund contributions and money designated for a specific purpose of which is to be recorded in a separate ledger. Money specifically designated to reduce the mortgage (or debt reduction) shall be applied when making the next mortgage payment.
ARTICLE III - BOARD OF TRUSTEES
Section 1 - The management of this corporation shall be vested in the Board of Trustees, consisting of no less than five (5), nor more than seven (7) members, who shall be elected at the annual meeting from the membership by ballot, no more than one of whom shall be a member of the Board of Directors of Village Players.
Section 2 - Trustees shall be elected for a term of three (3) years and shall continue in office until their successors have been elected and installed; provided, however, that the first Board of Trustees shall serve only until the first annual meeting of the corporation in the year 1998 and until their successors have been elected and installed. At such first annual meeting two trustees shall be elected for a three year term, two for a two year term, and the remainder for a one year term. At succeeding annual meetings trustees shall be elected for three year terms as their respective terms expire.
Section 3 - The number of trustees shall be determined by the Board of Trustees.
Section 4 - Each trustee shall be and continue to be a member of Village Players during his/her incumbency. In the event of a vacancy on the Board of Trustees caused by resignation or otherwise, the remaining members of the Board, by an affirmative majority vote, shall have the power to fill such vacancy or vacancies for the unexpired term of the trustee or trustees retiring or removed.
Section 5 - Meetings of the Board of Trustees may be called at any time by the President or by any three (3) Trustees. Ten (10) days notice of all such meetings shall be given to each Trustee. These meetings will be open to all members.
Section 6 - All of the corporate powers of this corporation not expressly reserved for the members shall be vested in the Board of Trustees.
ARTICLE IV - OFFICERS
Section 1 - The officers of this corporation shall be a President, one or more Vice-Presidents, a Secretary, Treasurer, and a Chairman of the House and Grounds Committee. There also may be such other officers as the Board of Trustees may from time to time deem necessary, who shall be appointed by the Board.
Section 2 - The officers above named shall be elected for a term of one year from their own number by the Board of Trustees, and shall continue in office until their successors are elected and installed.
ARTICLE V - DUTIES OF OFFICERS
Section 1 - The President shall preside at all meetings of the members and Trustees, shall sign the records thereof, and all deeds, mortgages, bonds, and other instruments conveying or affecting interest in realty or the financial obligations of the corporation. In general he/she shall do and perform all the duties pertaining to the office of President of a non-profit corporation as well as those duties required of him/her from time to time by the Board of Trustees.
Section 2 - It shall be the duty of the Vice-President to do and perform all of the duties of the President in the absence of the President, or in the event of his/her disability, or vacancy in the office, but such duties or powers shall be his/her only during the absence or disability of the President, or until the vacancy in the office of the President is filled. In the event that more than one Vice-President is elected by the Board, the Board shall determine their order of precedence.
Section 3 - It shall be the duty of the Secretary to keep correct record of all meetings of the members and the Board of Trustees; to keep membership records; to have charge of the corporate seal of the corporation and to affix the same to such instruments as may be directed and authorized; to sign, together with the President, all deeds and other instruments conveying or affecting an interest in realty or involving any legal obligation of the corporation; and in general to perform such duties as pertain to the office of Secretary of a non-profit corporation, as well as those required of him/her from time to time by the Board of Trustees.
Section 4 - It shall be the duty of the Treasurer to exercise supervision over the finances of the corporation and to furnish to the Trustees a correct statement of the financial condition of the corporation at such times as the Board of Trustees may request and to prepare annually for the consideration of the members at the annual meeting of the corporation, financial statements showing the financial condition of the corporation at the end of the fiscal year just closed, and in general to perform such other duties as pertain to the office of Treasurer of a non-profit corporation as well as those required of him/her by the Board of Trustees. The Board of Trustees may require the treasurer to furnish an indemnity bond in an amount and with surety satisfactory to the Board.
Section 5 - The chairperson of the House and Grounds Committee shall have general supervision of the rental, operation, and maintenance of the playhouse belonging to the corporation and shall be responsible to the Board of Trustees. He/she shall have the authority, subject to approval by the Board, to appoint assistants and sub-chairpersons to supervise and assist in particular functions within his/her jurisdiction.
Section 6 - The Board of Trustees and all officers shall serve without compensation. Any officer may be removed from his/her office at any time by the majority vote of the Trustees at a meeting called for that purpose; provided that not more than one vote shall be taken to remove any one officer during his/her term of office.
Section 7- The Building Fund balance, including a list of specifically designated funds, and mortgage balance shall be reported (e.g. in The Prompter newsletter) to the membership quarterly (July 31, Oct. 31, Jan. 31, April 30).
ARTICLE VI - FISCAL YEAR AND MEETINGS OF MEMBERS
Section 1 - The fiscal year of this corporation shall end on July 31, of each year.
Section 2 - The members of this corporation shall meet annually at the principal office of the corporation, unless otherwise specified in the call therefor, on the evening of the annual meeting of the Village Players in each year, immediately preceding the same, for the election of Trustees of this corporation and the transaction of such other business as may be brought before them.
Section 3 - Special meetings of the members may be held at such time as called for by the Board of Trustees, or by written notice to the Board of Trustees by any ten members.
Section 4 - Notice of such annual or special meeting shall be given to each member appearing as such on the books of the corporation by mailing him or her a notice thereof at his/her last address as left with the secretary, at least ten (10) days prior to the date of such meeting, and the notice for any such special meeting shall specify the date and time of the meeting and the purpose for which such special meeting is called.
Section 5 - The members present at a duly called meeting shall constitute a quorum for the election of Trustees and for the transaction of all other business, except where otherwise provided by law.
ARTICLE VII - POWER TO MORTGAGE, ETC.
Section 1 - The Board of Trustees of this corporation shall have general authority in its discretion to mortgage the property of the corporation or any part thereof for such sums and upon such terms as they shall determine. The Board of Trustees shall have the further power to issue bonds or other obligations of the corporation not secured by mortgage, as it may in its discretion determine to be necessary or advisable, as well as the power to contract for all construction, improvement, equipment, and maintenance on or in connection with the corporate property, except as limited by the next section of these Bylaws or not in excess of $50,000.00 without membership approval.
Section 2 - In the event that any such mortgage or bonds are issued and are outstanding, the Board of Trustees shall not have the power to authorize any improvement of the property of the corporation exceeding $500.00 in amount, unless and until all sums needed to maintain such mortgage and/or bonds in good standing for the then current year are paid or are available for payment.
Section 3 - The officer or officers by whom checks, notes, drafts, contracts, and other instruments evidencing obligations of the corporation are to be signed, may be designated by the Board of Trustees. However, the transfer of real property shall only be permitted by a 2/3 rd vote of the members present at a meeting of the membership called in accordance with Article VI, sections 3 and 4 of these Bylaws.
Section 4- That the Playhouse Board at their discretion may apply funds to reduce the outstanding mortgage. Such application may be made following determination that an appropriate amount of reserves is on deposit over and above specifically designated funds.
ARTICLE VIII - AMENDMENTS
These Bylaws may be amended at any meeting of the members provided a notice setting forth the amendment or a summary of the changes to be effected thereby is given to each member entitled to vote thereon in the manner and within the time provided in these Bylaws for notice of the meeting. No amendment inconsistent with the Articles of Incorporation shall be effective prior to the amendment of the Articles of Incorporation.
ARTICLE IX - COMMITTEESSection 1 - The Board of Trustees may establish such standing committees or special committees from time to time as it shall deem appropriate and shall define the powers and responsibilities of such committees. The Board of Trustees may establish one or more executive committees and determine the powers and duties of such executive committee or committees within the limits prescribed by the Bylaws.
Section 2 - A Nominating Committee shall be appointed each year by the Board of Trustees and it shall be composed of two out-going Trustees and three members selected by the Board of Trustees, of which at least one will be an outgoing member of the Village Players Board of Directors.
Section 3 - The Nominating Committee shall nominate the required number of Trustees for the next term of years. The Committee shall present its nominations to the membership in accordance with these Bylaws. Further nominations from the floor may be made following the Committee’s presentation. However, no more then one sitting board member of the Village Players Board, may hold a seat on this board at any one time. Associate members and Life members of Village Players will not be entitled to hold office.
ARTICLE X - INDEMNIFICATIONEach person who is or was a trustee, director, member, officer or member of a committee of the corporation and each person who serves or has served at the request of the corporation, as a trustee, director, officer, partner, employee or agent of any corporation, partnership, joint venture trust or other enterprise shall be indemnified by the corporation to the fullest extent permitted by the corporation laws of the State of Michigan as they may be in effect from time to time. The corporation may purchase and maintain insurance on behalf of any such person in any such capacity or would have power to indemnify such person against such liability under the preceding sentence. The corporation may, to the extent authorized from time to time by the Board, grant rights to indemnification to any employee or agent of the corporation to the fullest extent provided under the laws of the State of Michigan as they may be in effect from time to time.

~~~~~ OPERATIONS ~~~~~
To assure active participation by all members, and to promote wider friendships and shared experiences among the membership, The Village Players is organized to be run by committees. The committee chairmen conduct the operations of the club, subject to financial and policy control by the Board of Directors. To be most effective, this requires that strong chairmen be appointed. It is also essential that all chairmen demonstrate the drive, ability, and hard work necessary to handle the routine and emergency requirements in putting a show on the road.
Some members of the Board of Directors are assigned to act as coordinators of the work of designated groups of committees. Appointments by committee chairmen are submitted through these coordinators to the Board of Directors for approval.
The Board of Directors, constituted according to the Bylaws, generally meets monthly throughout the year. The Board selects the program for the season, appoints committee chairmen, directors and producers, defines policies, establishes the budget, and transacts the general business of the organization.
With these proven methods of operation, the Village Players has found it unnecessary to use a paid director or a salaried executive manager.
Brief descriptions of the activities and responsibilities of the standing committees are given in the following pages, but first, some special notes:
INVOLVEMENT
Since active status implies activity in the organization and its projects, all active members are expected, as a minimum, to work on one season or show committee and to assist in one social event each season. Eligibility to perform in a production depends on fulfilling these obligations. Associate and Life Members, by definition, are exempt.TRYOUTS AND CASTING
Tryouts are conducted by the production staff on dates established by the Board. Casting takes place immediately following the last tryout session and is done by a casting committee convened by the Board. Members of the committee consist of at least two members of the Board and the Director, but may include the entire production staff. From time to time, other persons may, for particular reasons, be asked to serve on the committee too. Members of the casting committee must be thoroughly familiar with the play and must attend all tryout sessions so that each person who auditions has a consistent audience. Invitations to undertake roles are made by the Board.LONG SUNDAY
This is the Sunday before opening night. Generally, the play is rehearsed twice; once in the afternoon and once in the evening. One rehearsal will be for final technical testing and setting and the other will be a full run, complete, just as it will be played. Usually, there is a break between the two rehearsals, at which time the cast and the committees and their families have supper at the playhouse.THE PREVIEW
This is it! The Preview is the first performance in every sense of the word. You have an audience . . . from outside Village Players’ membership. OFFSTAGE - The Standing Season Committees
ORGANIZATIONAL
The chairpersons of these committees are selected by the Board to supervise all activities in their areas for the production year. According to the nature of the committee, the chairperson may appoint permanent committee members to serve for the year, and assigns chairpersons for particular aspects or events.
APPRENTICES
This committee was formed to aid in the development of potential new directors, stage managers, producers, makeup artists, light and sound designers, etc. This is accomplished by bringing together persons interested in learning a particular aspect of the theater with the chairperson of that function for a given show. New members particularly, should be encouraged to choose and apprentice one of the backstage disciplines. To accomplish this the apprentice chairperson should work closely with the directors.BENEFITS
The House may be sold to groups on special evenings. Potential dates, rates, and seating capacity are established by the Board. The benefits chairperson coordinates such sales on behalf of the Board, makes arrangements and provides for a Village Players member to serve as liaison to the purchasing group.BOX OFFICE / RESERVATIONS
The Reservation/Box Office Committee is responsible for the taking of reservations and the sale of tickets for all regularly scheduled shows. The chairperson for each show updates the message on the answering machine and records all ticket orders. At each performance, the Reservation/Box Office Committee staffs the box office and takes the tickets at the door. Following each show, the Chairperson deposits the money and completes the report forms and submits these to the treasurer, the accountant, the show producer, the board coordinator and the President. The Reservations/Box Office Chairperson, together with the Board coordinator, is also responsible for the development and distribution of the playbill and the printing of the tickets.HOUSE AND GROUNDS
The Players own and operate their entire physical plant, including the parking lot. Every member is on this committee in the sense that each one of us has the responsibility for keeping things picked up and the place neat for the next person. This includes putting bottles away, washing coffee cups, emptying ashtrays, disposing of rubbish, etc. Each "back stage" committee is responsible for the total cleanliness of its work area, but the House and Grounds committee has the responsibility and authority for cleanliness in the entire building, from the standpoint of health, safety, and fire protection.
The actual members of the committee take care of, or arrange for, insurance and for necessary operation, maintenance, and repair of the physical structure, building facilities, and grounds around the building. This may include maintenance, painting, plumbing repairs, landscaping, heating operation, snow removal, etc. Much of this is on a do-it-yourself basis. This committee is not responsible for stage facilities - only the lighting throughout the building other than on stage. The committee delegates some of its responsibility to the Stage Manager for show nights or to a social event chairperson for the time of that event.House keys are provided to season and show chairpersons as needed. Whoever opens up the Playhouse has a similar responsibility to see that it is properly closed up and all lights are turned off. Problem situations should be reported immediately to the House and Grounds Chairperson. Property within the building must not be removed without approval of the Board.
Budget projections are provided by the Board and the chairperson is expected to maintain costs within that parameter.
INVOLVEMENT

Since we are an all volunteer organization all members are encouraged to become involved beyond the minimum requirements. Eligibility to perform in a production depends on fulfilling these obligations.The Involvement Committee has the responsibility of maintaining involvement records and of being present at all auditions to verify that involvement obligations have been or will be met by any member wishing to try out for a show. Such verification will be necessary before a member is granted permission to try out.
The Involvement Committee is also responsible for involving new members.
LIBRARIAN / HISTORIAN
The Historian takes care of current and past photograph scrapbooks. The Historian also maintains Village Players’ records, such as Past Presidents’ books, back bulletins, and other historic documents. The Historian also keeps a file list of all plays produced by Village Players and is keeper of all plays owned.LONG RANGE PLANNING
This need is filled by a number of study groups or committees called by the Board to study projects beyond the day-to-day operation. These groups analyze all available facts and recommend proposed action to the possibilities, and priority designations. Because of its planning nature, the scope, responsibilities, and authority are as designated by the Board for each project under construction.MEMBERSHIP
This committee is responsible for announcing the Opening Tea by mailing invitations to prospective members suggested by current members. This committee also checks applications for membership received at the Tea, or at any other time of the year, for sponsors, etc., assesses the applications, and passes recommendations for acceptance or rejection on to the Board. This committee informs the President of completed applications as the monthly newsletter is prepared. Member applicants may then be carefully considered by the membership for no less than ten days before the Board makes its final decision on the application. Once membership has been approved, the Membership Committee Chairperson sends a copy of the application to the Apprentice Chairperson. This committee also handles all member status changes.MUSIC
It is the responsibility of the Music Chairperson to assist all appointed Musical Directors throughout the year with the obtaining of music materials and to enforce the established music budget as set forth by the Board of Directors.PHOTOGRAPHY
The Photography Chairperson is responsible for arranging to have scenes from each production photographed and copies sent to the Historian for filing in the scrapbook. Also, the Chairperson provides pictures of the current production to display in the Playhouse lobby. Budget projections are provided by the Board and the Chairperson is expected to maintain costs within that parameter.PLAY READING
This committee reads, studies, selects and submits for Board approval, a balanced slate of plays for production the following year. It is their responsibility to select plays which are compatible with a checklist of criteria that includes membership appeal, audience appeal, ability to cast, technical requirements, set requirements, costs, etc.Members of this committee are selected by the Board of Directors to serve a two-year term. On a rotating basis, three members of the committee are retired/replaced each year. Three years of membership within Village Players is required in order to serve on this committee.
PROGRAMS
The Programs Committee is responsible for the design, layout, copy and production of all show programs using information supplied by the individual show producers. The committee is also responsible for all supporting advertising sales, materials and billings associated with the program, as well as all other program information as directed by the Board.PROMPTER NEWSLETTER
THE PROMPTER is published monthly, except in the summer when a July/August edition appears. THE PROMPTER is the official newsletter of Village Players.The Board appoints an Assistant Editor each season who then becomes the Editor the following year, thus ensuring continuity.
The Editor is responsible for collecting and organizing the materials to be published each month following the regular Board meeting. To do this, the Editor works closely with designated board representatives and other key personnel such as show producers, etc.
When completed, the Editor delivers the material to the printer for timely publication. THE PROMPTER is always sent first class to ensure timely delivery.
PUBLICITY
This Chairperson is responsible for arranging coverage for all Players events. The following facets are included:
a. At the time of appointment, this chairperson assembles an up-to-date list of all media contacts with addresses and phone numbers.
b. Makes sure that Fact Sheets are sent to Coming Events sections of all major newspapers and radio stations at least three weeks prior to any Player’s public function.
c. Makes sure that at least two press releases are sent for each Production.
d. Consults with the Director about news photos during rehearsal and meets with the photographer, providing a fact sheet and any assistance needed.
e. Keeps a publicity scrapbook which provides the basis for the required annual report.SCRIPTS
It is the responsibility of the Scripts Chairperson to assist in the acquisition of all script materials for both selected productions and productions being considered by the Play Reading Committee. Contracts and royalties arrangements are also often a part of these responsibilities.SEASON TICKETS
The Season Ticket Chairperson, together with the Board coordinator, is responsible for the development and printing of the season brochure and season tickets. The Chairperson compiles the mailing list for season brochures and also coordinates the mailing and distribution of the brochures. This person accepts the orders for the season tickets, deposits the receipts, sends copies of the deposit slips to the treasurer and mails the tickets to ticket holders. The Chairperson prepares a list of season ticket holders for the Reservations/Box Office Committee.SIGN
This committee is responsible for the sign on Woodward Avenue that advertises all Players functions that involve the public. Functions such as plays and fund raisers need to be advertised on the sign with dates. New dates for shows need to be put up immediately after prior has closed.SOCIAL
One of the very special benefits of Village Players membership is the active and rewarding social season each year. It is the responsibility of this committee to arrange for, decorate, publicize and service all social events of the year, i.e.: Opening, or Membership Tea, Christmas Party, Birthday Party, New Member Party, Afterglows, Picnic, Closed Shows and any other social events planned by the Board. Budget projections are provided by the Board and each Event Chairperson is expected to maintain costs within that parameter. A complete report of attendance and expenses must be given to the Treasurer within ten days following the event.The Social Committee is jointly responsible with the House and Grounds Committee for all kitchen materials and service equipment.
SPECIAL AUDIENCE DEVELOPMENT
This committee works closely with schools, Senior Citizens and other groups to promote VILLAGE PLAYERS’ objectives and capacities as an Educational Institution.USHERS/CONCESSIONS
The Usher/Concessions Committee provides five to six persons whose duties are to greet patrons, pass out programs and assist people in finding their seats. The ushers then serve concessions during intermission(s) for all regularly scheduled performances. The receipts from concessions are forwarded to the treasurer for deposit in the Building Fund Account. The Head Usher remains in the lobby throughout the performance to assist in emergencies, turn lobby lights on and off, assist any late-comers and assure the security of the coats. All ushers should be vigilant to the needs of the patrons.BACKSTAGE - The Show Chairpersons
Backstage is the heart of the matter, whether the effort takes place during performances or preparing for them. It is estimated that it takes 10.3 people in the wings to put one person on the stage. In short, there is no show without backstage "go"!
GROUND RULES - for All Show Chairpersons:
Although each backstage department functions a little differently, the following ground rules apply to all of them:
1. Budget projections are provided by the Board and each Chairperson is expected to maintain costs within that parameter.
2. Read the play until you understand the responsibilities of your committee.
3. Annotate the script and prepare notes for discussion with your yearly chairman, the Director and The Producer.
4. Ascertain your budget from the Producer.
5. Contact the Director for preliminary coordination.
6. Attend the Production Meeting arranged by the Producer.
7. Assign your Committee workers from a list supplied by your Season Chairperson, including at least one new member. Staff show nights adequately.
8. Personally attend the first onstage rehearsal, and thereafter all work, rehearsal and production nights as necessary.
9. Hold a meeting of all your Committee members prior to Long Sunday, to brief and instruct them on procedures and work schedules.
10. Be sure to give the Producer a correctly spelled list of names of all your Committee members and acknowledgments for the program.
11. Remember that you yourself are an amateur, and make allowances for the problems and failings of your amateur co-workers.
12. After Production, remove from the Playhouse and return in good condition all borrowed or rented items. Clear the stage and store all Players’ property.Individual Chairperson’s Responsibilities:
COSTUMES
1. Cover the ground rules as set forth above.
2. Confer with the Director to establish the period, season, mood, and special effects (s)he would like.
3. Confer with the Set Designer, Lights and Makeup to establish colors, etc.
4. Assign and supervise workers in the following areas:
Research and Design: Check source material for authenticity or bright ideas. Plan and design costumes for effect and overall coordination.
Production: Check the cast for measurements and availability of wardrobes, making what needs to be made.
Procurement: Drive to Outer Mongolia to rent or borrow costumes, materials, and accessories.
Dressers: They are vitally necessary to assist the Cast in getting in and out of costumes on cue, and to assist Properties in providing the actors with items to be carried on stage.
5. Submit expenses to Producer within ten days of play closing.LIGHTS
1. Cover the ground rules as set forth above.
2. Confer with the Director to establish the season, mood, and special effects (s)he would like.
3. Confer with the Set Designer, Costumes and Makeup to establish colors, etc.
4. Assign and train personnel for adequate lighting on each production night and for technical rehearsals as called for.
5. Instruct Committee members to treat the delicate and costly lighting equipment with due respect, and to make changes and adjustments of the lightboard only under your supervision.
6. Coordinate with the House and Grounds Committee on House lighting.
7. Give audience warning cues prior to opening the curtain after intermissions.
8. After production, leave stage lighting system available for rehearsals which may follow.
9. Submit expenses within ten days of play closing to Producer.MAKEUP
1. Cover the ground rules as set forth above.
2. Confer with the Director to establish the period, mood, and special effects (s)he would like.
3. Check supplies and purchase any special makeup needed for your productions.
4. Study individual facial requirements, experimenting if possible, before Long Sunday and prepare makeup diagrams for each performer.
5. Clean makeup room before and after each performance.
6. Advise actors as to the time they are expected in the makeup room on the nights of performance, either in order of appearance, or degree of difficulty.
7. Assign one committee member to be in the makeup room throughout the performance to assist with touch up and makeup changes as needed during the show.
8. Submit expenses within ten days of play closing to Producer.PROPERTIES/HAND AND STAGE
1. Cover the ground rules as set forth above.
2. Confer with the director, lights, scenic and costume chairpersons on color, mood and period.
3. Furnish all movable objects on the set, and all objects handled by actors, excluding flats.
4. Cover every rehearsal as soon as possible by one or more members of your committee. While final working props may not be available until Long Sunday, substitute items can be used earlier, in order to give the props workers and the performers a sense of timing security.
5. Post backstage list of every prop in order of its appearance and removal.
6. Enlist the help of the Stage Crew in handling heavy props.
7. Submit expenses within ten days of play closing to Producer.SCENIC
1. Cover the ground rules as set forth above.
2. Confer with the Director about exits, entrances, blocking dependent on the set, as well as special effects of period and mood.
3. Confer with the Stage Manager concerning available flats, building material, door frames, etc.
4. Design the set.
5. Submit set sketches and mockup for the approval of the Director, Stage Manager, and Producer at the Production Meeting.
6. Enlist and assign personnel. You’ll need (amateurwise) finish painters and ground painters, high painters and low painters, and special effects painters.
7. Personally attend all work nights to supervise and cooperate with Properties and Stage Committees.
8. Submit expenses to Producer within ten days of play closing.
9. Glow when the audience applauds the set as the curtain rises.SOUND
1. Cover the ground rules as set forth above.
2. Provides sound and/or musical effects as required for production, from records or tapes or live, as determined by the Producer and/or Director.
3. Provide recorded music during the play and its intermissions and social events as required.
4. Submit expenses to Producer within ten days of play closing.SPECIAL EFFECTS
Not all productions require special effects, but when one does . . .

2. Confer with the Director as to the effects desired and their placement and timing
3. Research techniques and produce the effects as needed.
4. Submit expenses to Producer within ten days of play closing.STAGE MANAGER
The Stage Manager wears two hats: that of a Production Executive and that of Chairperson of the Stage Committee. As Chairperson of the Stage Committee, the Stage Manager is responsible for the set construction.On the night of Dress Rehearsal, the Director steps aside for the Stage Manager, who is then in full charge of the show during the production nights. His cooperation with, and understanding of the Director’s intentions for the production are essential. On show nights, he is Director of Public Safety and makes certain that safety and fire regulations are complied with.
1. Cover the ground rules as set forth above.
2. Discuss the play with the Director, Set Designer, Lights and any other committee affected.
3. Start construction of the set as soon as it has been approved at the production meeting and complete it as quickly as possible.
4. Be absolutely sure that the set has been safely constructed. "The life you save may be your own."
5. Start working the show at least ten days before dress rehearsal.
6. Starting at dress rehearsal, the Stage Committee Chairman is Stage Manager and is responsible for:
a. Timing of curtain and intermissions.
b. Cueing and assisting Lights, Sound, Properties, Costumes, and Special Effects to insure a smooth performance.
c. Alerting and keeping track of actors for entrance cues, costume changes, or makeup.
d. Overall cleanliness of the entire stage area.
e. Opening and closing the Playhouse on dress rehearsal and production nights.
f. Public Safety.
7. Submit expenses to Producer within ten days of play closing.
PRODUCTION EXECUTIVE AND AIDES
THE PRODUCER
Appointed by the Board of Directors, it is the responsibility of the Show Producer to coordinate all offstage and backstage activities associated with the show. The Producer calls and chairs an initial production meeting; establishes a production schedule; monitors the show budget as set forth by the Board of Directors; and, perhaps most important, works closely with the Director to make sure that all areas connected with the show are accomplished according to plan. It is also the Producer who supplies the program committee with all cast and crew listings and copy.The Producer ensures that the theater facilities are locked and secured after each rehearsal and performance; arranges for the cast party; and all cleanup efforts following the party and completion of the production.
Final responsibilities of the Producer include material returns (i.e.; musical scores and scripts, props etc.) and a financial report (including bills and invoices) to the Treasurer.
THE DIRECTORIAL STAFF
The Director
Appointed by the Board, the Director is responsible for all the staging and artistic development of a production. It is the Director who studies each and every aspect of the script, adds his/her own creative interpretation and applies it all to the production from beginning to end.
The directorial input begins during the audition and casting process and continues until the production is turned over to the Stage Manager on dress rehearsal night. The Director is in charge of scheduling rehearsals, conducting rehearsals, instructing cast members on movement, interpretation, etc., directing and consulting on all other aspects of the production (i.e. set design, costuming, etc.).The enormous responsibilities of the Director are often communicated and executed through the Assistant Director, Apprentice Director and Producer. The Assistant Director serves as right arm to the Director. He/she assists with blocking, script notes, rehearsals, etc. The Assistant Director will sometimes be solely responsible for one scene or number within a production and will be called on to direct that scene. In the event the Director must miss a rehearsal, the Assistant Director will take over the responsibilities for that night.
In the case of a musical production, the Director works closely with the Choreographer and Musical Director (and their assistants). Both the Choreographer and Musical Director bring specialized areas of expertise to the direction of a musical that the lead Director may or may not have. Still, as with any production there is only one lead Director in charge of interpreting the total production.
The Assistant Director
The Assistant Director is the Director’s prop and right arm. He/she assists with blocking, preparing a duplicate of the Director’s script notebook, in which are noted all blocking directions and script changes. He/she keeps this script up-to-date throughout rehearsals and sees that the cast’s and Director’s scripts are up-to-date.He/she attends all rehearsals and further, runs errands, dries the tears of all concerned and keeps track of details throughout the rehearsal period. He/she supervises the Prompter if there is one, and fills in for absent cast members. His/her one moment of glory is when he/she conducts a rehearsal in the Director’s absence.
The Apprentice Director Working as an Apprentice Director is an excellent introduction to Village Players’ methods and members.
The Apprentice Director meets with the Directors when assigned, attends blocking sessions with the cast, is present at all production meetings and most rehearsals, and runs errands for the Directors. In addition, the Apprentice Director is encouraged to work at least one night on every backstage committee connected with the play.
During the rehearsals, the Apprentice Director should be available for cueing between scenes.
He is responsible for arrangements for Long Sunday.
The Prompter
Chosen by the Producer and Director, it is the responsibility of the Prompter to assist in the cast members' efforts in memorizing lines and dialogue. This will include becoming familiar with script changes, character idiosyncrasies, etc., as well as following along during all off-book rehearsals and being available for one-on-one practice sessions with individual cast members.ONSTAGE
THE PERFORMER
This description of the Performer’s responsibility is deliberately left to the last because most amateurs place this activity first in their choice of theater occupation. We hope that at this stage of your reading you are convinced that other stage activities demand as much creativity and offer as much personal satisfaction as a maid’s role before the footlights.The Performer’ job and methods of approach to that job are as subjective as those described for the Director. You too, will find your assignments more rewarding if you adhere to a few guidelines:
1. Read the entire play several times, even if you have only six lines in the third act.
2. Be on time at all rehearsals. If you must be late or absent, be sure to call the Director or the Producer.
3. Learn your lines as soon as possible to expedite the moment when you, your Director and your fellow actors can polish the overall performance.
4. Take responsibility for your own costumes, properties, exits and entrances. You’re the one who may look foolish in front of the audience!
5. Get to the theater on production nights at the time Makeup asks you to come.
6. Be responsible for picking up after yourself during rehearsals and performances.
7. If it’s a musical, all script materials must be returned to the Producer at Dress Rehearsal. You will be charged for unreturned, rented musical materials.
8. REMEMBER, THERE ARE NO STARS IN LITTLE THEATRE. YOU GET THE APPLAUSE BECAUSE A LOT OF PEOPLE MADE YOU LOOK GOOD!!!
